Website Privacy Policy

Last Updated: October 22, 2026

This Privacy Policy explains how Claris Mental Health LLC (“Claris Mental Health”, “Claris”, “we,” “us,” or “our”) collects, uses, discloses, and protects information obtained through our public website and related online services.

1. Scope of This Privacy Policy

This Privacy Policy applies to personal information collected through the Claris Mental Health website, including information submitted through general inquiry or appointment-request forms and information collected automatically when you use the website.

This Privacy Policy is separate from our Notice of Privacy Practices. Individually identifiable health information that Claris Mental Health creates, receives, maintains, or transmits in connection with providing health care may constitute Protected Health Information (“PHI”) and is governed by the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”), other applicable health-privacy laws, and our Notice of Privacy Practices. If this Privacy Policy and our Notice of Privacy Practices address the same information and the information is PHI, the Notice of Privacy Practices governs to the extent required by law.

Our website may provide links to third-party services, including our patient portal and other tools used in connection with care. Information you provide after leaving our public website may also be subject to the privacy terms of the applicable third-party service, in addition to Claris’s obligations under applicable health-privacy law.

2. Information You Provide to Us

We may collect information that you voluntarily provide through the website or when you communicate with us. This may include:

  • Your name, email address, telephone number, and other contact information.
  • Insurance or self-pay (cash-pay) information provided for the purpose of determining whether Claris may be able to serve you.
  • General information about the type of care or services you are seeking.
  • Information included in a general inquiry, appointment request, or other message you send to us.
  • Your communication preferences and other information you choose to provide.

Our public website inquiry form is intended for general inquiries and appointment requests. Please do not use the website form to submit detailed medical histories, medication information, highly sensitive clinical information, or urgent or emergency concerns. Once appropriate, Claris may direct prospective or established patients to secure systems used for clinical intake, patient-portal functions, or patient communications.

3. Patient Portal, EHR, Payments, and Patient Communications

Claris uses third-party electronic health record (“EHR”), patient portal, payment, and communication platforms in connection with patient care. The Claris website may include links that direct users to these services. Clinical intake information, medical records, billing information, and payment information are intended to be handled through authorized systems rather than stored directly on the public Claris website.

Claris may use third-party communication platforms to communicate with prospective and established patients. Communications involving health information may be subject to our Notice of Privacy Practices and applicable privacy and security requirements.

Standard email and text messaging are not fully secure. When appropriate, we may direct you to our secure patient portal for communications involving health information. If you choose to communicate with us by standard email or text, you accept the risk that those messages could be intercepted or viewed by others. If we send appointment reminders or other administrative messages by text, we will do so only with your consent. You may opt out at any time.

Claris does not intend to collect or store payment-card information directly through the public website. Payments are processed through authorized payment or patient-care systems. Third-party platforms may maintain their own privacy and security terms governing their technology.

4. Information Collected Automatically

When you visit or interact with our website, we or service providers acting on our behalf may automatically collect limited technical and usage information. Depending on the website configuration and technologies in use, this may include:

  • Internet Protocol (IP) address and approximate location derived from an IP address.
  • Browser type, device type, operating system, and similar technical information.
  • Referring website or source, pages viewed, links clicked, and other interactions with the website.
  • Date, time, duration, and general patterns of website use.
  • Cookie identifiers and similar online identifiers.

We may use this information to operate and secure the website, understand how visitors use it, improve website content and performance, identify technical problems, measure interest in our services, and evaluate outreach or marketing efforts.

5. Cookies, Analytics, and Similar Technologies

We may use cookies, analytics tools, tags, pixels, or similar technologies for website functionality, security, performance measurement, analytics, and, where permitted, marketing or advertising measurement. These technologies may help us understand matters such as how visitors arrive at our website, which pages are viewed, how visitors interact with the site, and whether outreach or advertising efforts are effective.

Some technologies may be provided by third parties. We evaluate the use of website technologies in light of applicable privacy and health-information laws. We do not rely solely on this Privacy Policy or a cookie banner as authorization to disclose PHI to a tracking or advertising vendor when additional legal permission, authorization, or contractual safeguards are required.

Your browser or device may allow you to block, delete, or limit cookies or similar technologies. Disabling certain technologies may affect website functionality. Where required by applicable law, we may provide additional choices or consent mechanisms for non-essential technologies.

6. How We Use Information

We may use information collected through the website to:

  • Respond to questions, general inquiries, and appointment requests.
  • Determine whether our services may be appropriate or available and facilitate next steps for scheduling or intake.
  • Communicate with you about requested services, administrative matters, or changes relevant to your use of the website.
  • Operate, maintain, secure, troubleshoot, and improve the website and our services.

  • Comply with legal, regulatory, licensing, insurance, contractual, or professional obligations.
  • Protect the rights, safety, and property of Claris, our patients, website visitors, and others.
  • Use information for other purposes disclosed at the time of collection or with your consent, as permitted by law.

7. How We May Share Information

We may disclose website information in the following circumstances, subject to applicable law:

Service providers and vendors. We may share information with vendors that support website hosting, forms, analytics, security, communications, scheduling, technology, professional services, or other business functions.
Health care and business operations. When information is PHI, disclosures for treatment, payment, health care operations, or other permitted purposes are governed by our Notice of Privacy Practices and applicable law.
Legal and safety purposes. We may disclose information when reasonably necessary to comply with law, regulation, legal process, court order, governmental request, or professional obligation, or to protect rights, property, health, or safety.
Business transactions. Information may be transferred as permitted by law in connection with a merger, acquisition, reorganization, financing, sale of assets, or similar business transaction.
With your direction or consent. We may disclose information when you ask us to do so or otherwise provide valid consent or authorization.

8. Analytics, Advertising, and Marketing

Claris may use analytics and marketing tools to understand interest in our services, improve our website, evaluate the effectiveness of outreach, and inform future marketing decisions. We may also use or consider advertising services offered by search engines, social-media platforms, or other advertising providers. We do not use location-based advertising or geofencing to identify, track, or target individuals who seek care at our office.

The use of advertising or tracking technologies does not mean that Claris may freely disclose PHI for advertising or marketing. We will use such technologies only as permitted by applicable law and will implement additional safeguards, permissions, authorizations, or contractual arrangements when legally required. Claris does not sell PHI.

If we offer promotional email or text communications in the future, we may use contact information for those communications as permitted by law. Where required, we will provide a method to opt out of promotional communications. Opting out of promotional messages will not necessarily stop administrative, transactional, appointment-related, or clinical communications that are necessary or otherwise permitted by law.

9. Third-Party Websites and Services

Our website may contain links to websites, portals, applications, or services that are operated by third parties. Claris does not control the independent privacy practices of third-party websites or services. We encourage you to review the privacy notices and terms applicable to any third-party service you use. This section does not limit Claris’s obligations with respect to PHI or information handled by a business associate on our behalf.

10. Data Retention

We retain website information for as long as reasonably necessary for the purposes described in this Privacy Policy, including responding to inquiries, maintaining business and security records, resolving disputes, enforcing agreements, and complying with legal, regulatory, professional, insurance, and record-retention obligations. Different categories of information may be retained for different periods. PHI and clinical records are retained in accordance with applicable health-record retention requirements and our Notice of Privacy Practices.

11. Information Security

Claris uses reasonable administrative, technical, and physical safeguards designed to protect information within our control. We also select and manage service providers with privacy and security considerations in mind. However, no website, electronic communication, or information system can be guaranteed to be completely secure.

Do not use the public website or general inquiry form for emergencies. The website and inquiry form are not continuously monitored and are not emergency-response service. If you are experiencing a medical or psychiatric emergency, call 911 or go to the nearest emergency department. If you are in crisis or having thoughts of suicide, call or text 988 to reach the 988 Suicide & Crisis Lifeline, available 24/7.

12. Children and Minors

Claris provides clinical services exclusively to adults age 18 and older. Our website and online services are intended for adults age 18 and older and are not directed to or intended for use by minors.

Individuals under age 18 should not use the Claris website, submit information through website forms, or use the website to seek services or information from Claris. Claris does not knowingly collect personal information through the website from individuals under age 18.

13. Your Choices and Privacy Rights

Depending on where you live and the law that applies to particular information, you may have rights concerning access, correction, deletion, restriction, consent, or other handling of your personal information. These rights may be subject to exceptions, verification requirements, and different rules for PHI or medical records.

For rights involving PHI or your medical record, please review our Notice of Privacy Practices. For questions or requests concerning information collected through the public website, contact us using the information below.

14. Oregon and Other Applicable Privacy Laws

Claris currently provides services in Oregon and will comply with applicable privacy, consumer-protection, health-information, and other legal requirements in the jurisdictions where we provide services. As our services expand, we may implement additional notices, consents, authorizations, or processes as necessary to comply with applicable law.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our website, technology, vendors, services, business practices, or legal requirements. The “Last Updated” date at the top of this policy identifies the most recent revision. Material changes will be communicated or presented as required by applicable law.
